FOOD & PRODUCT PHOTOGRAPHY SERVICES
TERMS & CONDITIONS OF BOOKING
1. DEFINITIONS
For purposes of this agreement:
“Agency” refers to WOW Marketing Agency, its photographers, creative directors, stylists, assistants, editors and subcontractors.
“Client” refers to the person, business, brand, restaurant, manufacturer or authorised representative commissioning the work.
“Shoot Day” refers to the scheduled production day booked by the Client.
“Deliverables” refers to all final edited photographic images supplied to the Client.
2. SERVICE FEES & DAY RATES
2.1 Half Day Food/Product Photography Rate
A Half Day booking constitutes up to 4 consecutive working hours on site or in studio and includes:
- photography setup,
- lighting setup,
- standard creative direction,
- photography production,
- standard post-production on selected final images.
Half Day Rate: From R8,000.00
2.2 Full Day Food/Product Photography Rate
A Full Day booking constitutes up to 8 consecutive working hours on site or in studio and includes:
- full production photography,
- multiple product setups,
- creative direction,
- standard lighting,
- standard editing of selected final images.
Full Day Rate: From R14,000.00
A Full Day booking includes:
- one short lunch break of approximately 30 minutes, and
- short technical/creative reset breaks of approximately 10–15 minutes after every hour of continuous shooting,
to allow for:
- equipment adjustments,
- lighting recalibration,
- data backup,
- image review,
- set resets,
- photographer and crew continuity.
These intervals form part of the normal production workflow and are not considered inactive or non-billable time.
The Client acknowledges that continuous uninterrupted shooting for the full booked duration is not operationally feasible due to the technical nature of commercial food and product photography production.
2.3 Hourly Extension / Overtime Rate
Any time worked beyond the allocated booked session will be charged as overtime.
Overtime Rate: R1,500.00 per hour or part thereof.
Overtime is billed where:
- Client is not ready at scheduled start time,
- products/food are delayed,
- additional shots are requested beyond agreed scope,
- setup changes extend beyond scheduled time.
3. WEEKEND / PUBLIC HOLIDAY SURCHARGE
Any booking scheduled on:
- Saturdays,
- Sundays,
- South African Public Holidays,
shall attract an additional premium production surcharge.
Weekend Surcharge: +25% on total booked day rate
Public Holiday Surcharge: +40% on total booked day rate
This surcharge applies due to staffing, assistant, editing and scheduling implications.
4. RUSH / PRIORITY TURNAROUND FEES
Standard turnaround time for final edited deliverables is 5–10 working days from date of Client image selection and/or final approval.
Where Client requires expedited editing and delivery, the following rush fees apply:

Rush fees are subject to Agency production availability and are billed on the full project value.
5. BOOKING CONFIRMATION & DEPOSIT
A shoot date is only secured once:
- written quotation acceptance has been received, and
- a 50% non-refundable booking deposit has been paid.
No dates will be held without deposit payment.
The balance is payable prior to release of final edited images.
For recurring corporate clients, alternative account arrangements may be approved in writing.
6. CLIENT PREPARATION RESPONSIBILITIES
The Client is solely responsible for ensuring that:
- all products are available and camera-ready,
- food items are prepared fresh and plated on time,
- packaging is clean and undamaged,
- labels are correctly applied,
- duplicate hero products are supplied where needed,
- props, cutlery, crockery or branding items requested are available unless separately quoted by Agency.
The Agency cannot be held responsible for lost production time due to:
- delayed kitchen prep,
- melted food,
- collapsed plating,
- damaged products,
- missing ingredients,
- unavailable packaging.
Such delays may incur overtime charges.
6A. PER SETUP / PER ITEM SHOOTING LIMITATIONS
Quoted rates are based on a reasonable commercial production workflow and not on unlimited item capture.
Unless otherwise stipulated in writing, the following serves as a general production guideline:
Half Day Booking:
Suitable for approximately 8–15 simple product or plated food setups, depending on complexity.
Full Day Booking:
Suitable for approximately 15–30 simple product or plated food setups, depending on complexity.
A “setup” refers to:
- one individual plated dish/product,
- one styling arrangement,
- one packaging variation,
- one significant background or prop change,
- one major lighting variation.
Complex advertising concepts, group arrangements, pours, action shots, steam shots, macro details, ingredient splashes, reflective items, cosmetics, glassware, jewellery, or composite setups may substantially reduce the number of achievable setups.
The Agency does not guarantee unlimited item completion within booked time.
Additional unquoted setups requested on the day may incur overtime or additional day booking fees.
6B. WAITING TIME DUE TO CLIENT/KITCHEN/PRODUCTION DELAYS
Scheduled shoot time commences from the agreed call time regardless of whether products, dishes, chefs, kitchen staff, packaging, or client representatives are ready for photography.
Any delays caused by:
- incomplete food preparation,
- delayed plating,
- chef backlog,
- unavailable menu items,
- products not unpacked,
- labels not applied,
- missing ingredients,
- unavailable props,
shall be regarded as active booked production time.
Where such delays materially affect the scheduled workflow and cause the Agency to remain on standby, the time remains fully billable.
If such delays push the shoot beyond the booked allocation, overtime charges shall apply.
6C. PROP CLEANING / RESET / WASHING DELAYS
Where multiple dishes, crockery, cutlery, serving boards, bottles, glasses, packaging items or styling props are used repeatedly during production, the Agency shall not be held responsible for delays caused by:
- washing,
- drying,
- polishing,
- de-labeling,
- re-plating,
- product wiping,
- condensation cleanup,
- replacement of soiled surfaces.
Such reset intervals are considered part of the active production schedule.
Excessive delays caused by unavailable clean props or insufficient duplicate products may result in reduced final image quantity or overtime billing.
6D. TETHERED LIVE REVIEW / CLIENT ON-SET APPROVAL DELAYS
Where the Client elects to review images live during the shoot via tethered monitor, laptop preview, camera playback, WhatsApp approvals, management sign-off, chef sign-off, marketing department approvals, or committee review, such review periods remain part of the booked production time.
Repeated stop/start approvals, extended internal discussions, or delayed client decision-making may materially reduce the number of completed setups achievable within the booked session.
The Agency shall not be liable for reduced image quantity where excessive approval interruptions occur.
Should such approval delays extend production beyond the booked period, overtime charges shall apply.
6E. CLIENT INDECISIVENESS / CREATIVE CHANGES / SCOPE SHIFTING
The quotation is based on the creative brief supplied prior to shoot date.
Where the Client during production requests:
- repeated angle changes,
- complete styling changes,
- packaging swaps,
- new background concepts,
- new lighting concepts,
- social-media-only alternates,
- additional compositions not included in original brief,
- “let us try one more thing” concepts,
the Agency reserves the right to classify such requests as additional scope.
Additional scope may result in:
- reduced number of completed items,
- overtime billing,
- or requirement of an additional shoot day.
The Agency shall not be responsible for failure to complete all originally planned items where the Client materially changes the approved brief during production.
6F. RESHOOTS DUE TO CLIENT PRODUCT OR PACKAGING CHANGES
Once a product, menu item, bottle, label, package, carton, ingredient arrangement or brand design has been photographed and approved, any future reshoot required as a result of:
- revised packaging,
- changed label artwork,
- ingredient changes,
- colour changes,
- branding updates,
- product reformulation,
- menu plating updates,
- revised portion sizes,
shall constitute a completely new booking and will be quoted accordingly.
The Agency is under no obligation to digitally “fix” substantial physical product changes post-shoot unless separately quoted as advanced retouching.
7. FOOD STYLING / PRODUCT STYLING
Standard creative arrangement is included.
Dedicated professional food styling, prop sourcing, advanced set design, floral styling, custom backgrounds, model hands, steam simulation, liquid splash work, suspended pours, or complex advertising composites are not included unless separately quoted.
Any outsourced stylist fees are for Client’s account.
8. IMAGE QUANTITY & RETOUCHING
The Agency does not work on an “unlimited image” basis.
The number of final edited images delivered is dependent on:
- complexity of products,
- setup changes,
- styling time,
- food preparation time,
- number of angles required.
Standard retouching includes:
- colour correction,
- light blemish cleanup,
- tonal enhancement,
- exposure balancing,
- sharpening,
- cropping.
The following are billed additionally if requested:
- advanced compositing,
- label reconstruction,
- extensive packaging cleanup,
- background replacement,
- removal of major defects,
- digital manipulation,
- campaign artwork extraction.
Additional retouching is billed at R200.00 per image.
8A. AI GENERATED EDITS / AI IMAGE MANIPULATION
Standard project pricing includes conventional professional photographic retouching only.
The following are not included unless specifically quoted:
- AI background generation,
- AI scene extensions,
- AI prop replacement,
- AI food enhancement,
- AI ingredient insertion,
- AI packaging reconstruction,
- AI object removal,
- AI advertising composites,
- generative campaign artwork.
Artificial Intelligence based image manipulation requires additional concept development, prompt engineering, digital compositing, quality control and manual retouch supervision.
Accordingly, any AI generated or AI-assisted edit requests shall be billed separately at either:
- a per image AI manipulation fee, or
- an hourly advanced digital artwork rate,
depending on complexity.
The Agency further reserves the right to decline AI requests where generated output may compromise brand authenticity or photographic realism.
9. CLIENT IMAGE SELECTION & APPROVAL
Where proof sheets/contact sheets are supplied, Client must select preferred final images within 5 working days.
Delayed selections automatically delay final delivery dates.
Once final edited images have been approved and delivered:
- additional changes,
- re-edits,
- alternate crops,
- retouch amendments,
- colour regrading,
will be billed separately.
10. COPYRIGHT & USAGE RIGHTS
All RAW files, lighting files, layered composites and unedited captures remain the sole intellectual property of WOW Marketing Agency.
The Client receives non-transferable usage rights to the final edited approved images for:
- website use,
- social media,
- menus,
- catalogues,
- printed marketing,
- digital advertising,
- internal brand communication.
Images may not be:
- resold,
- supplied to third parties,
- used by resellers/distributors,
- altered by third-party designers beyond reasonable crop/placement,
without written permission.
Large national billboard campaigns, packaging rollouts, franchising usage, or resale licensing may attract extended usage fees.
11. RAW FILES
RAW/unedited files are never supplied unless specifically negotiated under a buyout agreement.
If RAW file release is approved, it will be charged at a premium licensing fee at Agency discretion.
12. TRAVEL & LOCATION COSTS
Shoots outside Pretoria/Johannesburg metropolitan areas may incur:
- travel fees,
- mileage,
- accommodation,
- assistant transport,
- courier charges,
- freight handling.
These will be quoted separately.
13. CANCELLATION / POSTPONEMENT
Confirmed bookings cancelled within:
- 7 days of shoot date = 25% cancellation fee
- 72 hours of shoot date = 50% cancellation fee
- 24 hours or less = 100% cancellation fee
This is due to blocked production time, staffing and pre-production preparation.
Postponements are treated as cancellations if production resources have already been allocated.
14. WEATHER / LOADSHEDDING / TECHNICAL DELAYS
Where applicable, the Agency will make every effort to continue production under difficult circumstances.
However WOW Marketing Agency shall not be liable for delays caused by:
- load shedding,
- venue power failure,
- internet outages affecting transfers,
- weather restrictions,
- client operational delays,
- courier delays,
- kitchen malfunction.
15. PAYMENT TERMS
Unless otherwise agreed in writing:
- 50% deposit upfront
- 50% payable before final delivery
Late payments exceeding 7 calendar days may attract:
- 5% monthly interest,
- suspension of further work,
- withholding of all high-resolution files.
16. ACCEPTANCE OF TERMS
Payment of deposit and/or written approval of quotation constitutes full acceptance of these Terms & Conditions.
WOW Marketing Agency reserves the right to amend rates annually without prior notice.
